Dental AI Receptionist HQ

Privacy Policy

This policy explains how we handle information from website visitors, customer offices and callers. Read what we collect and how to make a request, then try the demo using fictional details.

Who We Are and What This Policy Covers

TypeScience, trading as Dental AI Receptionist HQ, operates this website and the AI receptionist service for dental offices. This policy covers website visits, account information, onboarding, demo conversations and information processed when someone calls a customer's business.

We distinguish between people using our website or buying our service and people calling a dental office that uses it. That distinction matters because the office decides what information its callers are asked for and why. We handle those callers' details on the office's behalf.

Your Office's Role in Caller Information

Your dental office decides the purpose and content of caller information collected through its receptionist. You provide the business instructions, intake questions and routing details used to handle your office's calls. We process the resulting caller information for your business under the data processing terms included in our terms of service.

For a caller, a question about why the office requested particular details can be directed to that office. A request about personal information can also be sent to us. Our contact for privacy requests is privacy@dentalaireceptionisthq.com.

Account and Billing Information

We collect account details including your name, business name, email address and phone number. These details support your customer account and your use of the receptionist service. They are separate from the information provided by people who call your office.

Our payment processor handles billing, and we do not store full card numbers. Payment processing is one of the service provider categories used to operate the service. For account or billing help, write to support@dentalaireceptionisthq.com rather than including payment details in a demo conversation.

Onboarding Answers and Website Content

We collect the answers you provide during onboarding and content from the business website you point us to. This information teaches your receptionist about your office's hours, services, price policy and call handling instructions. It also supplies the rules for taking messages and reaching your designated urgent contact.

Your office is responsible for the accuracy of those instructions. You can change settings by telling the AI what you want in plain words. Keep those business instructions focused on the front-desk tasks you want the receptionist to perform.

Call Audio and Written Call Records

We collect call audio, recordings, transcripts, summaries and caller numbers when the receptionist handles calls. These records let your team review the conversation and follow up on messages. Your dashboard presents call information, and email and app push notifications deliver call alerts.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

At the beginning of each call, the receptionist identifies itself as a virtual assistant and announces that the call is recorded. These notices cannot be turned off. The recording and written records are subject to the retention periods described in this policy.

Demo Calls and Chats

We record and transcribe demo calls and chats on this website to show you the result of the conversation. The demo is a way to hear the receptionist and inspect what it takes down. It does not require signup.

Use made-up patients, fictional office situations and invented details when testing. Please keep real patient information out of demo conversations. You can try a fictional front-desk conversation after reviewing how demo information is handled.

Website Analytics and Cookies

We collect website analytics using privacy-friendly analytics and Google Analytics. Google Analytics uses cookies. Analytics information is part of the information collected through this website, separate from the records produced by calls to your dental office.

Analytics providers are among the service providers we use. If you have a question about website information or want to make an opt-out request, email privacy@dentalaireceptionisthq.com. You can use the same address for access, correction or deletion requests concerning personal information.

Service Providers and AI Processing

We use service providers for hosting and storage, telephone carriers, AI models for voice and text, payment processing, email delivery and analytics. These categories support the website, customer accounts and receptionist service. Call processing includes voice and text information used to produce conversations and call records.

Our AI model provider, OpenAI, does not use our API data to train its models by default. This default concerns training; the provider still processes information to deliver the service. We never sell personal information and never use callers' data for our own marketing.

How Long We Keep Call Information

Recordings are kept for the period your business chooses, either 30 or 90 days, and then deleted. Your office's choice determines how long a recording remains available for call review. Choose that period with your team's message handling process in mind.

Transcripts and summaries are kept while your account is open. They are deleted within 30 days after the account closes or on request. A request to delete information can be sent to privacy@dentalaireceptionisthq.com; the same address handles questions about these retention periods.

Access, Correction, Deletion and Opt-Out Requests

You can request access to, correction of or deletion of personal information by emailing privacy@dentalaireceptionisthq.com. You can also send an opt-out request there. California residents have rights where they apply, and requests can be made through this privacy contact.

Callers may ask the dental office they contacted or reach us directly. The office remains responsible for deciding what caller information it collects and the purposes for that collection. If your question concerns the office's own handling of a message, contact the office as well.

Dental Information and Children

Use with protected health information: the pending status (no business associate agreement is in place). Until that status is set, the service must not be used with protected health information. Use fictional information to explore the demo while reviewing the service for your office.

Our website and service are not for children under 13. The receptionist is for front-desk call handling and does not provide diagnosis or treatment advice. Insurance questions are recorded for the dental team rather than answered as coverage verification.

Policy Changes and Contact Details

We date changes to this privacy policy on this page. The last updated line identifies the version you are reading. Return to this policy when reviewing how the service handles account, demo or caller information.

Privacy questions and requests go to privacy@dentalaireceptionisthq.com. General help is available at support@dentalaireceptionisthq.com. Our terms for customer offices describe subscription responsibilities and include the data processing terms for caller information.
